EXECUTIVE ASSISTANCE

Senior executive support that protects your time.

Discreet, board-level executive assistance for Chairs and CEOs — coordination, communications, and scheduling handled at a standard that matches the work it sits behind.

OVERVIEW

Senior leaders shouldn't be doing operational admin.

Chairs and CEOs in high-accountability environments lose hours every week to coordination work that, on paper, sits below their role — diary management, stakeholder communications, document handling, board logistics. The work still needs doing properly. It rarely is.

One Echo Alpha provides senior-level executive assistance specifically for board-related coordination. This isn't general administration. It's the kind of support that has handled confidential papers before, knows how a board operates, and can be trusted with sensitive correspondence without supervision.

The result is straightforward: your time stays focused on the decisions only you can make, and the operational layer behind those decisions runs cleanly in the background.

WHAT WE DELIVER

Six areas where senior support pays for itself.

Practical, board-aware executive support — sized to what your week actually needs, not a generic EA job description.

— 01

Chair & CEO diary management

Calendar coordination across board commitments, sub-committees, stakeholder meetings, and travel — protecting deep work time as deliberately as meeting time.

— 02

Stakeholder communications

Drafting, proofing, and managing correspondence with directors, regulators, members, and external partners — at the tone and level the role requires.

— 03

Board meeting logistics

Venues, dial-ins, travel, catering, and on-the-day coordination — handled end to end so the meeting starts on time, every time.

— 04

Confidential document handling

Sensitive papers, signed resolutions, and confidential correspondence handled with the protocols and discretion appropriate to the role.

— 05

Briefing & preparation packs

Pre-meeting briefings, talking points, and stakeholder summaries prepared so you walk into every meeting properly oriented.

— 06

Travel & event coordination

Conference, off-site, and travel coordination for Chairs and CEOs — including AGM logistics and major stakeholder events.

A TYPICAL WEEK

What good executive support looks like in practice.

The shape of the work changes with the role, but the rhythm tends to look like this.

One week, end to end

A representative working week supporting a CEO with two boards and an active stakeholder portfolio.

— Monday

Week ahead

Diary review, briefing pack assembly for the week's commitments, and clearing any urgent correspondence from the weekend.

— Mid-week

Communications

Drafting and dispatching stakeholder correspondence, managing inbound requests, and coordinating responses on behalf of the role.

— Meeting days

On the day

Logistics confirmed, briefing materials in hand, and any follow-up actions captured and circulated within hours.

— Friday

Looking forward

Next week's diary locked, briefing material requested, and any outstanding actions chased before the weekend.

FREQUENTLY ASKED

Common questions about executive assistance.

Is this remote or in-person support?

Predominantly remote, with in-person attendance for board meetings, AGMs, and key events when needed. We're based in Christchurch and travel where the engagement requires it.

How is this different from a regular EA?

The work is similar, but the context is different. Board-level executive assistance requires familiarity with how boards operate, comfort handling confidential papers, and the judgement to draft correspondence at a senior level without close supervision.

How many hours per week do most clients use?

Typical retainers run between five and fifteen hours per week, depending on the role and the meeting cadence. We start conservatively and adjust once we've established what's actually needed.

How do you handle confidentiality?

Every engagement begins with a signed confidentiality agreement, and we follow strict information handling protocols suited to senior board roles, including defence and regulated sectors.

Do you work with our existing tools?

Yes. We work within your existing email, calendar, and document environments — Microsoft 365, Google Workspace, or secure equivalents. We don't ask the role to adapt to our tools.
